This policy explains how Aleph Logic (“we”, “us”) uses personal information when you visit sop-care.com, contact us, or subscribe to SOP Care. We are committed to handling your information lawfully and transparently under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information we collect
- Enquiries: your name, email, phone number, organisation and message when you use our contact form or email us.
- Subscriptions: the organisation name and the names of its pharmacies, homes or practices, and the account administrator’s name, job role, email and phone number when you sign up.
- Payments: handled by GoCardless (Direct Debit) or PayPal. We receive confirmation of your mandate or subscription and payment status. We never see or store your full bank account or card details.
- Website usage: standard server logs (IP address, browser, pages requested) kept for security and troubleshooting. We do not use advertising or analytics cookies.
How and why we use it
- To provide and bill for SOP Care under our contract with you (lawful basis: contract).
- To reply to enquiries and provide support (legitimate interests).
- To send service emails such as your login details, payment notices and important changes (contract).
- To send occasional product updates, only if you opt in (consent, which you can withdraw at any time).
- To keep our services secure and meet legal obligations, such as keeping financial records (legitimate interests and legal obligation).
Data inside SOP Care
Information your organisation adds to SOP Care about its staff, locums and agency workers (for example names, roles, email addresses and SOP sign-off records) is processed by us on your behalf. For that data your organisation is the controller and Aleph Logic is the processor, acting only on your instructions and under our Data Processing Agreement.
Who we share it with
We share information only with providers who help us run the service: our web hosting provider (Hostinger), GoCardless and PayPal for payments, and our email provider for sending messages. Each is bound by data protection obligations. We never sell personal information. Our website and the SOP Care app are hosted in the United Kingdom, with backups in Germany. International transfers
Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to protect your information.
How long we keep it
Enquiries: up to 2 years. Account and subscription records: for as long as you subscribe and then 6 years for tax and accounting purposes. SOP Care data: for the life of your subscription; after cancellation we keep it for up to 12 months so you can restart, then delete it, unless you ask us to delete or export it sooner.
Your rights
You can ask to access, correct, delete, restrict or object to our use of your personal information, and to receive a copy in a portable format. Email support@sop-care.com. We will respond within one month.

Complaints
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
