These terms apply to subscriptions to SOP Care (the “Service”) provided by Aleph Logic, a trading name of Aleph Healthcare Ltd
[Business address to be added]. By starting a trial or subscription you agree to them on behalf of your business (“you”).
1. The Service
SOP Care is online software for creating, personalising, approving, distributing and evidencing standard operating procedures. We provide a starter library of SOP templates, which we update from time to time.
2. Your responsibilities for SOPs
The SOP templates are a starting point and do not constitute legal or professional advice. Your organisation, including its superintendent pharmacist, registered manager and other accountable professionals, remains solely responsible for reviewing, adapting and approving SOPs so that they reflect your practice, and for compliance with the requirements of your regulators (including the GPhC and CQC), NHS terms of service and all other applicable law.
3. Free trial
New accounts start with a free trial (currently 30 days). No payment details are needed to start a trial. To keep using SOP Care after the trial, you choose a plan and set up payment; if you do not, your account is paused at the end of the trial.
4. Fees and payment
Fees are as shown on our pricing page when you subscribe and are collected in advance each month or year by Direct Debit (GoCardless) or PayPal. We may change prices for future billing periods by giving you at least 30 days’ notice by email. If a payment fails, the payment provider will retry; if payment cannot be collected we may suspend access until it is resolved.
5. Plan limits
Each plan covers the number of premises (pharmacies, care homes or dental practices) shown on our pricing page. Unlimited staff and locums may be added for those premises. If you need more premises, you can move to a larger plan.
6. Cancellation
You can cancel at any time by emailing support@sop-care.com, by cancelling your Direct Debit, or by cancelling your PayPal subscription. Access continues until the end of the period already paid for. Fees already paid are not refundable except where required by law. We may suspend or end the Service if you materially breach these terms.
7. Acceptable use
You must keep login details confidential, give each person their own account, and not misuse the Service, attempt to access other customers’ data, or interfere with its operation.
8. Your data
You own the content and records you add to the Service. For personal data in it, you are the controller and we are the processor. We process it only on your behalf and under our Data Processing Agreement, which forms part of these terms and which you accept when you accept these terms. Where it is hosted and which subprocessors we use are set out on our Data protection page. On request we will export or delete your data.
9. Availability and changes
We aim to keep the Service available at all times but cannot guarantee uninterrupted access, for example during maintenance. We may improve or change features, and will tell you in advance about any change that materially reduces the Service.
10. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot be limited by law. Otherwise, we are not liable for indirect or consequential loss, loss of profit or business, or for the content of SOPs you approve, and our total liability in any 12-month period is limited to the fees you paid us in that period.
11. General
These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction. Questions about these terms: support@sop-care.com.
